Postgraduate Research Students' Conference Fund Policy

1. Preamble

1.1. Xi’an Jiaotong-Liverpool University has made available special funding to support postgraduate research students to attend research conferences. The Postgraduate Research Students’ Conference Fund aims to enhance the academic experience of students, encourage the dissemination of research, and enhance the University’s research profile nationally and internationally.

 

2. Definitions

2.1. ‘XJTLU’ or ‘the University’ refers to Xi’an Jiaotong-Liverpool University.

2.2. ‘Policy’ refers to the Postgraduate Research Students’ Conference Fund Policy.

2.3. ‘Procedures’ refers to the Postgraduate Research Students’ Conference Fund Procedures.

2.4. ‘Fund’ refers to the Postgraduate Research Students’ Conference Fund.

2.5. ‘Predatory Conferences’ are gatherings that appear to be legitimate academic meetings but are organised by revenue-seeking companies for the purpose of exploiting academics.

2.6. ‘Supporting Academics’ are the Principal Supervisor and the School/Academy Director of PGR at XJTLU of the Applicant.

 

3. Scope

3.1. This Policy applies to attendance at formal gatherings in academic settings in which research findings are communicated. These include academic conferences, seminars, workshops, symposia, meetings, congresses and similar gatherings.

3.1.1. Formal training programmes managed by a training provider are outside the scope of this Policy. These include such programmes as summer schools, education workshops, web-based training, e-learning courses and similar programmes.

3.2. This Policy applies to postgraduate research students currently registered in MPhil or PhD programmes.

 

4. Administration

4.1. The Fund is administered by the XJTLU Graduate School.


5. Eligibility

5.1. Applicants

5.1.1. Postgraduate research students are eligible to apply for funding under this Policy.

5.1.1.1. Applicants may be full-time or part-time students.

5.1.1.2. Applicants must currently be registered in MPhil or PhD programmes

5.1.1.3. Applicants must not have had progressed so that the outcome of the viva voce has been finalised.

5.1.2. The following types of students are ineligible to apply for funding under this Policy:

5.1.2.1. Undergraduate students at XJTLU;

5.1.2.2. Postgraduate students undertaking taught programmes at XJTLU;

5.1.2.3. Students undertaking short courses or executive programmes at XJTLU;

5.1.2.4. Visiting students from other educational providers; and

5.1.2.5. Postgraduate research students at XJTLU currently under suspension.

5.2. Conferences

5.2.1. Academic events that are the object of the application must fall within the Scope of this Policy (§3.1).

5.2.2. Applicants and supporting academics must ascertain that the academic events are not classified as ‘predatory conferences’.

5.2.3. Conferences must occur prior to the finalisation of the outcome of the applicant’s viva voce.

5.3. Activities

5.3.1. Applicants must have been invited to present a poster or deliver an oral presentation about their research at the conference.

5.3.2. Applications for attendance without the sharing of research are ineligible for funding under this Policy.

 

6. Amount of Funding

6.1. The amount for funding will be listed in the Procedures

6.2. The amount of funding will be reviewed annually by the Graduate School and approved by the Associate Vice President of Research and Impact.

 

7. Allocation of Funding

7.1. The process of allocation of funding will be listed in the Procedures.

7.2. The process of allocation of funding will be reviewed annually by the Graduate School and approved by the Associate Vice President of Research and Impact.

 

8. Funded Items

8.1. Items eligible for funding will be listed in the Procedures.

8.2. The items eligible for funding will be reviewed annually by the Graduate School.

 

9. Scope of Benefit

9.1. The University through the Associate Vice President of Research and Impact reserves the right to

9.1.1. Set the amount of funding that falls within the scope of this Policy

9.1.2. Set the process of allocation of funding that falls within the scope of this Policy

9.2. Funds awarded under this Policy may only be used for activities defined in the Procedures.

 

10. Consideration of Applications

10.1. All applications submitted under this Policy must follow the process prescribed in the Procedures.

10.2. All applications submitted under this Policy will be considered under normal academic criteria.
